Ever read a business’s Instagram caption and thought, “Did a robot write this?”

Or clicked on a website and immediately got hit with “synergy-driven innovation solutions” and noped out?

Yeah. That’s what happens when a brand doesn’t have a voice. Or worse…

It has one that sounds nothing like them.

If you’re thinking, ‘Mmm, is that me?’ let’s fix that.

First off: What even is a brand voice?

Your brand voice is the way your business sounds in writing.

It’s your personality on paper. Your vibe in a caption. Your values and energy squished into sentences that people actually want to read.

It’s the difference between saying:

🧍‍♂️ “We offer strategic digital solutions for business owners looking to grow.”
vs
💃 “We help time-poor legends get seen online without the ‘where do I even start?!’ stress.”

Same idea. Completely different feel.

One sounds like a brochure. The other? Like a real human, you’d probably want to work with.

Your brand voice is how you connect with the right people and gently repel the wrong ones. It helps your dream customers think, “Yup, this is my kinda business.”

Why your brand voice actually matters

You know that feeling when you finally find a business that gets you?

Their website makes you smile. Their social posts feel like they’re reading your mind. Their emails are the only ones you actually open.

That’s not an accident. That’s a brand voice in action.

A strong brand voice:

  • Builds trust and familiarity
  • Helps you stand out in a crowded market
  • Attracts clients who vibe with your tone and energy
  • Makes writing faster and easier (because you’re not reinventing the wheel every time)
  • Keeps your messaging consistent, even across different channels or team members

No more “Oh, that doesn’t sound like us” moments. Your voice becomes your guide.

How to find (and keep) your voice

Here’s how to create a brand voice that feels like you and stays consistent everywhere, from your website to your DMs.

  1. Define your personality

Start with a few adjectives. Are you cheeky and casual? Warm and nurturing? Bold and straight-talking?

Avoid clichés like “professional” (everyone thinks they are). Get specific.

Then ask:

If your brand were a person at a dinner party…

  • What would they wear?
  • What would they say (and how would they say it)?
  • Would they be telling stories or sharing spreadsheets?

These things help shape your tone, pace, word choices, and even your use of emojis (and yes, emoji use is a voice choice ✨).

  1. Nail your messaging pillars

What do you always want to talk about? What’s the core of your work, your values, your audience’s pain points?

Your brand voice should revolve around these key messages. You can talk about the same things in totally different ways, depending on your vibe.

Example:
A luxury skincare brand and a cheeky vegan beauty biz might both talk about hydration. One will whisper in silk. The other will shout in glitter.

  1. Create a cheat sheet

Once you’ve defined your tone, lock it in. Make a simple brand voice guide with:

  • 3–5 voice descriptors (e.g. playful, empowering, smart-but-not-snobby)
  • Do’s and Don’ts (e.g. Do: contractions, short punchy lines. Don’t: corporate jargon or overly formal greetings)
  • Examples of how you say things like greetings, CTAs, common phrases, etc.

This is gold for keeping things consistent, especially if someone else is helping with your content.

  1. Use it everywhere

Your website. Your Instagram. Your email footer. Your order confirmation emails.

Every single touchpoint is a chance to sound like you.

If your social posts are fun and playful, but your enquiry email starts with “Dear Sir/Madam,” we’ve got a problem. Consistency is key.

Real businesses who are nailing their brand voice

Need a little inspo? Here are a few brands (big and small) who are totally owning their voice:

Who Gives A Crap – Eco toilet paper, zero shame. Funny, informal, and passionate about doing good.

Frank Body – A sassy skincare brand that talks like your cheeky best friend. Their voice is their brand.

Thankyou – A purpose-led voice that’s heartfelt but never preachy. It’s all about empowerment with a human tone.

Go-To Skincare – Friendly, self-deprecating and smart. Like the cool girl who also tells you to wear SPF.

They don’t just “have” a brand voice — they use it. Everywhere. Consistently. And that’s why you remember them.

So… where does an SEO copywriter come in?

If you’re thinking, “This sounds great, but I have no idea where to start”, that’s where I come in.

A good copywriter (like me 👋) can:

  • Help you discover your brand voice, even if it’s hiding under years of business-speak
  • Create a tone of voice guide, so you stay consistent
  • Write your website, socials, emails, and more in a way that sounds like you (but cooler and clearer)
  • Save you hours of staring at a blank screen, wondering why words are so hard today

Your brand deserves more than “meh” messaging. Let’s make it magnetic.
